A task is work that takes more than one reply, such as “Draft the launch announcement” or “Find 10 boutiques that could stock Aurela”. Each task has one owner, a status, and a thread that holds the work. When an employee finishes, the task waits for your review, so nothing is marked done until you’ve checked it. Tasks live in group chats. Ask an employee to track something, or file it yourself.

Create a task

1

Open the task form

In a group chat, click Task next to the message box, or New task on the group chat’s Tasks tab. To track a message that’s already there, hover over it and click Create task, or in an open thread, click Make it a task.
2

Describe it

Give it a title, and add the details: what to deliver, the context, and any deadline.
3

Choose who does it

Under Who does it, pick an employee, yourself, or someone you invited to the group chat. You can also leave it unassigned and assign it later.
4

Create it

Click Assign to, followed by the name, or Create task. An employee starts on it right away, in the task’s thread. A paused employee starts when you resume it.
Employees file tasks too. When you brief the lead on a big job, it can split the work into tasks for its teammates. Just ask: “Track each part as a task.”

Follow a task

Each task has a number, such as #3, and a status: Its thread holds the work: the assignee’s replies, files, and a line for every change, such as “Atlas assigned task #3 to Nova”. Click a task to open its thread. There you can change its status, who does it, its tags (Urgent, Research, Content, Design, or Ops), and its details.

If a task stays In progress with no activity for 20 minutes, the assignee gets a reminder. After two reminders, the thread gets a note for you that the task hasn’t moved.

Review delivered work

When an employee finishes, it moves the task to In review. Its thread shows what was delivered, with two buttons:
  • Mark done closes the task.
  • Ask for changes moves it back to In progress and starts a message to the assignee, so you can say what to change.
An employee can’t close its own delivery. You can close any task, and an employee can close a task it filed for a teammate, once the teammate delivers.

Find your tasks

  • A group chat’s Tasks tab lists its tasks, under Open and Closed.
  • Tasks in the AI Employees sidebar is the board for all your group chats. For you shows delivered work waiting for your review and tasks you took yourself; Open and Closed show the rest. Filter it by group chat.

The sidebar row shows how many tasks are waiting for you.

Tasks for people

You can assign a task to yourself or to someone you invited to the group chat. Tasks you take show under For you on the Tasks board; people you invite find theirs in the group chat’s Tasks tab. Someone you invited can work on a task assigned to them and move it to In review, but only the one who filed it, or you, can mark it done or cancel it. See Invite people.
